Office Manager/ Bookkeeper

                                                              POSITION IS SALARIED/EXEMPT

OFFICE MANAGER

This position reports to and is directly supervised by the Executive Director.  This position is comprised of bookkeeping duties as well as administrative duties.  Approximately one-half of your time will be spent on bookkeeping duties and one-half of your time will be spent on administrative duties.

BOOKKEEPING duties will include but are not limited to:

  • Preparing payroll and related payroll items in a timely manner
  • Maintain all accounts receivable and payable, in an accurate and timely manner
  • Maintain files of paid bills, fiscal reports, and any other required records for the appropriate time period.
  • Prepare and submit timely fiscal reports and check requests as required by various funding entities
  • Prepare for annual audit and work with auditing firm on required reports
  • Prepare monthly financial statements for agency, Project Concern board and Project Concern finance committee
  • Keep all insurance policies properly filed and up to date
  • Work with Executive Director to prepare the yearly budget
  • Keep current statistical data needed for program reports required by the various funding entities
  • Work with Executive Director and program directors in areas related to program budgets and payroll
  • Coordinate relief in the front office with designated persons
  • Ability to maintain volunteer and agency confidentiality
  • New employee orientation, compilation and processing of  personnel records.
  • Network administration and computer troubleshooting
  • Transportation required

ADMINISTRATIVE duties will include but are not limited to:

  • Grant and contract preparation
  • Arrangements for Board and agency meetings
  • Prepare monthly board packets
  • Process and maintain all workers compensation claims and files
  • Cash receipts summary and weekly tasks report to Executive Director
  • Filing
  • Coordination of agency activities

REQUIRED EXPERIENCE AND TRAINING

Two (2) years minimum experience with computerized accounting systems as well as two (2) years minimum office experience and (2) years minimum Quick Books.  Time management skills, knowledge of board procedures and knowledge of office equipment is preferred.

QUALIFICATIONS

Accuracy, organizational abilities, good communication skills, flexibility, ability to give care attention to details, self discipline and responsibility to get required duties done on time and ability to work well with others.  Abililty to follow complex oral and written directions.  Knowledge of database, word processing and spreadsheet programs.  Ability to type 60 words per minute.

PHYSICAL REQUIREMENTS

Possess natural or aided hearing adequate to provide regular phone interaction with broad range of persons.  Possess natural or aided vision to support daily personal computer usage, regular uses of standard office equipment and preparation and interpretation of hand written information.

Ability to lift 25 – 30 pounds as needed to prepare and file all necessary documentation and process office supplies.  Range and motion, dexterity and coordination requisite with daily use of personal computer and standard office equipment.

Physical speed, strength and coordination needed to prepare offices/rooms for small/large meetings including procurement and delivery of needed supplies.
